Position Title: Construction Executive Assistant

Pay Range: $75,000-$90,000+ per year (depending on experience)

Job Overview

Beaudin Construction is seeking a highly skilled and experienced Construction Executive Assistant to support our leadership team with high-level administrative, communication, and coordination functions. This role is critical to maintaining operational efficiency and supporting key initiatives, including client management, legal documentation, and business development. The ideal candidate brings a polished, professional demeanor, deep familiarity with the construction industry, and thrives in a fast-paced environment. Key Responsibilities

  • Manage executive calendars, meeting logistics, and travel arrangements
  • Coordinate industry events and client-facing activities
  • Draft and manage internal/external communications (emails, memos, proposals)
  • Assist with contract document preparation for clients and subcontractors
  • Coordinate insurance certificates, bonding, and qualification documents
  • Assist with RFP responses, presentations, and proposal development
  • Research and identify potential new clients for business development
  • Track industry networking events and register executives for participation
  • Interface with clients, vendors, attorneys, and stakeholders on behalf of leadership
  • Handle purchases and reimbursements for executive team
  • Maintain strict confidentiality in handling sensitive business and legal information
  • Answer inbound calls and respond to email inquiries
  • Support hiring process by screening candidates as needed
  • Prepare financial documents and legal materials (no accounting required)

Qualifications

  • 5+ years of experience supporting executives (preferably in construction, architecture, or real estate development)
  • Strong proficiency in Microsoft Office (Outlook, Excel, PowerPoint)
  • Comfortable using Adobe Creative Suite or equivalent software
  • Familiarity with construction processes, terminology, and contracts
  • Excellent written and verbal communication skills
  • Strong attention to detail and organizational skills
  • Experience interacting with legal teams and reviewing contracts
  • Able to interpret basic financial documents
  • Bonus: experience in construction law or real estate development
  • Candidates must have prior experience in at least two of the following areas: marketing, business development, or real estate.

Schedule
